As part of its engagement with its broad community, the Eclipse Foundation hosts, operates, and attends various events and tradeshows. These include both Open Community Experience (OCX) (https://www.ocxconf.org/event/2026), which is the Foundation’s flagship annual international conference bringing together developers from across its communities, as well as the Automotive Open Source Summit, which brings together global business leaders engaged in open source software across the automotive industry. The Eclipse Foundation also attends many industry-leading events across Europe and around the world in support of its efforts to drive awareness of its projects, build communities and engage with individuals from its ecosystem, as well as hosting a wide variety of virtual events.
The Role
As part of the Foundation’s Events team, you will help plan and execute virtual and physical events for the Foundation across Europe. You will be involved in driving successful webinars and supporting various stakeholders attending third-party events in terms of logistics and marketing promotion.
Reporting to the Senior Manager, Event Operations and Strategy, and part of a dynamic and success driven team, the Event Coordinator will have experience in event planning, marketing, and operation of community and industry events, and understand the drumbeat of successful event management. While understanding of open source communities is an asset, an innate ability and desire to engage with a broad set of stakeholders to achieve success is a must. You will work closely with your colleagues on multiple events throughout the year and have the opportunity to contribute meaningfully to a strategic community service of the Foundation.
Location
This remote position is open to individuals in any location in the following European countries (Germany, France, Italy, Portugal, and Belgium) as the candidate will be working from the comfort of their own home when not travelling for an event.

Education
Bachelor's degree in Event Management, Marketing, or a related field, or equivalent experience.

Responsibilities
- Webinar Management: Plan, schedule, and coordinate all logistics for webinars, including platform management, speaker coordination, audience engagement, and post-event follow-up in support of the Virtual Events Specialist.
- Stakeholder Support: Provide event-related support to internal and external stakeholders for third-party events, including coordinating event materials, swags, logistics, and ensuring brand consistency at sponsored or attended events.
- Social Media Promotion: Develop and execute social media promotion strategies to drive event awareness, engagement, and attendance with the marketing team’s support.
- Event Logistics Coordination: Manage all logistical aspects of events including venue selection, vendor relations, catering, AV setup, and travel arrangements when required.
- Brand Representation: Ensure brand guidelines are followed in all marketing materials, signage, and promotional eff orts related to events, ensuring consistent representation across platforms with the support of the marketing team.
- Budget Management: Assist in managing the budget for events, including cost tracking, vendor negotiations, and expense reporting to ensure events are delivered within financial guidelines.
- Analytics & Reporting: Collect and analyze data post-event to measure success (e.g., attendance, engagement, ROI) and generate reports to assess overall effectiveness and identify areas for improvement.
- Technology Management: Coordinate with the IT team to ensure all event-related technologies, including registration platforms, webinar tools, and CRM integrations, are functioning smoothly.
- On-Site (or online) Event Management: Provide on-site support at physical events, overseeing setup, guest check-in, speaker coordination, and any troubleshooting during the event.
- Foundation’s flagship event: Support with the rest of the event team, the logistical execution of the Foundation’s main flagship event (Open Community Experience) such as abstract submission, speaker management, app management, etc.
Education
Bachelor's degree in Event Management, Marketing, or a related field, or equivalent experience.
Desired Skills and Experience
- 3+ years’ of experience in event coordination, marketing, or a similar role, with a demonstrated track record of planning and executing successful events (both virtual and in-person).
- Experience managing webinars and virtual events, as well as promoting these events through digital marketing and social media channels.
- Strong organizational skills with the ability to manage multiple events and webinars simultaneously, ensuring all details are executed flawlessly.
- Skilled in on-site event management, providing real-time solutions and ensuring smooth event execution.
- Proven experience in social media marketing and promotion strategies, particularly in driving event awareness and engagement.
- Strong writing and communication skills for developing promotional materials, event descriptions, email campaigns, and social media posts.
- Analytical mindset with the ability to collect, analyze, and interpret data related to event performance, attendance, and ROI, using tools like Google Analytics, CRM systems, or event management platforms.
- Excellent interpersonal and communication skills, with the ability to support stakeholders, including internal teams, community leaders, sponsors, and external vendors.
- Community-service oriented approach with an ability to manage attendee inquiries and event-related issues.
- Proficient with event management platforms (e.g., Cvent, Crowdcast, Swapcard, Eventbrite, Zoom, etc.) and marketing automation tools.
- Familiarity with budgeting and financial management related to event planning, ensuring cost-effective solutions without compromising quality.
- Adaptable team player with a strong sense of initiative and problem-solving skills.
- Operational experience with planning and organizing both in-person and virtual events
- Proven ability to be both self-motivated and work independently while also being supportive and interactive with the entire events team.
- Excellent written and verbal communication skills in English is required; fluency in Germany and/or French is beneficial.
